ITIN Hub provides Individual Taxpayer Identification Number (ITIN) assistance, Certified Acceptance Agent identity verification, U.S. tax preparation and consultation, EIN assistance, foreign-owned business compliance, and related professional services.

2. Passport and Identity Documents
Because ITIN Hub provides Certified Acceptance Agent services, we may need to review an applicant’s original passport or another qualifying original identification document, or a certified copy issued by the appropriate issuing agency.
For remote identity verification, ITIN Hub must have the qualifying identification document in its possession during the identity interview when required by IRS Certified Acceptance Agent procedures.
Original documents may be delivered in person, delivered by an authorized person, or sent to us using an appropriate mailing or courier method after instructions are provided.
Original identification documents are returned after the required review. When return shipping is required, clients may be asked to provide a prepaid tracked shipping label.
Please do not send an original passport or other sensitive identity document to ITIN Hub unless we have first provided instructions for doing so.
3. Copies of Identification and ITIN Records
As an IRS Certified Acceptance Agent, ITIN Hub is required to maintain certain documentation related to ITIN applications.
CAA records may include Form W-7, Form W-7 (COA), supporting identity documentation, tax returns when applicable, and exception documentation. Applicable IRS retention requirements may require us to keep certain ITIN application records for a specified period after submission.
We may therefore retain copies of identity documents and other ITIN records when necessary to satisfy IRS requirements, professional responsibilities, legal obligations, security requirements, or legitimate business recordkeeping needs.
4. How We Use Your Information
We may use your information to:
- Determine which ITIN or tax service may be appropriate
- Prepare Form W-7 and related ITIN documentation
- Perform CAA identity verification
- Prepare Form W-7 (COA), Certificate of Accuracy

We do not sell client tax information.
5. Tax Return Information and IRC Section 7216
Information provided in connection with tax-return preparation may constitute “tax return information” protected under Internal Revenue Code Section 7216 and related Treasury Regulations.
Federal law generally restricts tax-return preparers from using or disclosing tax return information for purposes other than preparing or assisting in preparing a tax return unless an applicable legal exception exists or the taxpayer provides the required consent.
Where specific taxpayer consent is legally required, we may provide a separate consent form.
This Privacy Policy does not replace any consent required under IRC Section 7216.
6. How We May Share Information
We may disclose information only when reasonably necessary to provide services, operate our business, or satisfy legal obligations.
IRS and Government Agencies

Payments may be processed through third-party payment processors.
ITIN Hub generally does not need to store complete credit or debit card numbers on its own systems when payments are processed through such providers.

8. Website Forms and Sensitive Documents
Our website may allow visitors to submit contact information, questionnaire responses, appointment requests, or preliminary documents.
Uploading a photograph or scan of a passport through an intake form does not, by itself, constitute CAA identity authentication.
When original documents or additional secure documentation are required, ITIN Hub will provide separate instructions.
For security reasons, do not send passports, Social Security numbers, complete tax returns, banking information, or other highly sensitive documents through ordinary email unless specifically instructed to do so through an approved secure process.
9. Information Security
Protecting taxpayer and identity information is an important part of our professional responsibilities.
We maintain administrative, technical, and physical safeguards designed to protect personal and customer information from unauthorized access, disclosure, alteration, misuse, or destruction.
As a tax preparation practice, we maintain security procedures appropriate to the sensitivity of the information we handle, including a Written Information Security Plan where required.
No electronic or physical security system can guarantee absolute security, but we take reasonable measures designed to safeguard information entrusted to us.
